FULL TIME ONSITE ADMIN CUM RECEPTIONIST

Responsibilities:

  1. Front Desk Management

    • Greet and assist clients with a warm and professional demeanor.

    • Manage appointment scheduling and client inquiries via phone, email, and walk-ins.

    • Maintain a welcoming and organized reception area.

  2. Administrative Support

    • Handle daily office operations, including filing, data entry, and record-keeping.

    • Assist therapists and management with administrative tasks.

    • Manage office supplies and ensure the workspace is well-stocked and organized.

  3. Client Coordination & Support

    • Guide clients through registration, intake forms, and payment processes.

    • Maintain confidentiality and ensure accurate record-keeping of client details.

    • Address client concerns and direct them to the appropriate therapist or department.

  4. Billing & Payment Handling

    • Process invoices, payments, and receipts for therapy sessions and wellness programs.

    • Assist in tracking outstanding payments and coordinating with clients for follow-ups.

  5. Operational & Facility Management

    • Coordinate with vendors, cleaners, and maintenance teams to ensure a well-functioning and clean office environment.

    • Monitor office equipment and arrange for servicing when needed.

  6. Event & Program Support

    • Assist in organizing wellness programs, workshops, and corporate events.

    • Handle event registrations and coordinate logistics as needed.

Requirements:

  1. Bachelor's degree in Psychology, Social Work, Healthcare Administration, or a related field 

  2. Prior experience in administration, reception, or customer service roles is an advantage.

  3. Strong communication and interpersonal skills, with a warm and professional attitude.

  4. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Proficiency in Autocount is an added advantage.

  5. Ability to multitask, stay organized, and manage time effectively.

  6. Comfortable handling confidential information with discretion and professionalism.

  7. Fluent in English and Bahasa Malaysia (additional languages are a plus).

  8. Passionate about mental health and wellness (preferred but not required).

  9. Commit to be onsite 45 hours a week during operational hours, Mondays to Saturdays, 10am - 7pm.
